Non Admin Codes

Non-admin codes are vital for recording reasons a medication is not administered and will help manage stock where appropriate. They are used for anything from medication being refused to medication being dropped or even if the service user is asleep at the time of the round.

HxCare comes with some inbuilt non-admin codes, but you can create as many or as few additional ones as you need. The preconfigured non admin codes that come with HxCare are used for specific features within the system, so cannot be edited or removed.

The non-admin codes that are inbuilt and can't be changed are:

Some other non-admin codes that might be useful would be;

  • Covering non-application for patch rotation
  • More detailed reasons for being Inactive
  • More detailed reasons for non-admin

Non-admin codes can be configured to require a note to be added when the code is used. This is important to make sure important information is captured that could be required for future rounds or audit detail.

Non-admin codes can be configured to decrement the stock when used if, for example, a tablet has been popped from it’s tray and then refused or dropped. This helps keep stock levels accurate and also removes the need for manual stock adjustments.

Non-admin codes cannot be deleted if they have been used to retain an audit trail, but you can deactivate them if you don’t want them to be used anymore. You can also reactivate them if you need to at a later date.

When creating non-admin codes, it’s important to think about how they will look on the MAR chart as we use the abbreviation, so if you have two non-admin codes with similar abbreviations and they mean very different things, it might be worth revisiting how you’ve named them so when viewed next to each other on a MAR chart, it is very clear which one is which.
